Revolutionize Your Productivity: How I Reclaimed HOURS of Time with My Music Staff

I'm the classic do-everything-myself type of person who lives a click away from a Google Sheet doc and digital task list. I like to be in complete control, so I don't delegate easily. But if there was one system that I would trust doing ALL of my invoicing, My Music Staff would be it!

I didn't even know programs like this existed until I was already drowning in my invoicing. I was spending HOURS checking my schedule, logging lesson credits, and double-checking the amount totals. I was meticulous. My husband would argue maybe too meticulous. And still...I would somehow end up with errors that slipped through the cracks.

Then I came across one of the best resources I have ever discovered for my piano studio: My Music Staff.

General Overview of My Music Staff

My Music Staff has plenty of useful features including organizational tools such as:

Staff/Payroll

Student Database & Portal for Families

Lesson Calendar & Automated Reminders

Repertoire Database

Lending Library (say goodbye to losing books!)

Automated Invoicing

Business Reports (i.e. expense/revenue reports)

...and the list still goes on.

I only scratch the surface of some of these features, but the calendar and auto-invoicing alone has given me back HOURS of my precious time to spend with my family.

A Closer Look at My Music Staff

So let's dive in and take a closer look at some of these features.

Here is a snippet of what my first week of June looked like:

As you can see, all of my students and my teachers' students are laid out clearly for us to see what we have that day. Each teacher has a specific color assigned to them so it is easy to differentiate between teacher calendars.

When we take attendance at the end of each day, students are check-marked green if they were present and red if they missed--the program will then ask if that lesson is billable or will give you several other options to choose from.

The BEST part? It auto-generates an invoice based off the calendar schedule you create and emails it to the family on the scheduled day you select.

Under the Invoices tab, every student family is listed with their current balance and whether they are late on payment.

At the top of the page, you can easily keep track of how much of your monthly income you can still expect to receive.

Or if you want a nice snapshot of your projected income for an upcoming month, you can change the blue-colored date at the top.

I actually LOVE the reports option because I can see how well we are doing as a studio, and take note of different times of the year when income patterns change and plan accordingly.

This Sounds Nice, But What's the Price?

Get ready for this...

It's literally less than the price of ONE lesson per month.

The return on this small investment is so incredibly worth it.

I made the mistake of waiting until my studio was so large that I was already drowning in my invoicing...
